VOXCAR for fleets

Every unit in the yard. One service record.

Construction and logistics fleets run on paper — invoices from a dozen shops, receipts in a dozen cabs. VOXCAR turns each one into a searchable record attached to the unit it belongs to.

You already have the records. You just cannot find them.

Nothing about a working fleet is undocumented. Every repair produced an invoice and every invoice went somewhere. The problem is that “somewhere” is thirty different places.

The history lives in the glove box

An invoice from a shop two states over, a tire receipt, a warranty claim. Paper spread across the cab of every unit you own, and none of it searchable when it matters.

Cost per unit is a guess

You know what the fleet costs. What the third truck costs — against the one you bought the same year — is a question most yards cannot answer without an afternoon of digging.

A unit turns over and the record does not

You sell or trade a machine and its entire documented life stays behind in a filing cabinet, taking real money off the price with it.

Construction

Mixed fleets are the hard case: a pickup, a dump truck and a tracked excavator have nothing in common except that they all break and they all cost money. One record each, on the same timeline, whether the unit has a plate or an hour meter.

  • ·Service logged against the machine, not a spreadsheet row
  • ·Attachments and installed parts tracked by part number
  • ·Recurring checklists assigned to whoever runs the machine
  • ·Photographs of damage and repairs, kept with the record
  • ·Purchase, warranty and inspection paperwork in one place

Logistics

Tractors and trailers turn over, run long distances and get worked on wherever they happen to break. The record has to be built by whoever is standing next to the unit at the time — which means a photo of the invoice, not a form filled in later.

  • ·Roadside and out-of-network repairs captured on the spot
  • ·Drivers log against the unit they are in, from their own phone
  • ·Fuel and mileage tracked over the life of each unit
  • ·Tractors and trailers recorded separately, as they are worked
  • ·Full history exported when a unit is sold or traded

What goes into the record

Captured where the work happens, by whoever is standing there.

One record per unit

Every truck, trailer, pickup and machine gets its own service history — no limit on how many you add, and no distinction between road-registered and yellow iron.

Receipts from any shop

Outside vendors, dealers, mobile techs, your own bay. Photograph the invoice and the date, parts, labor and cost come off it automatically.

Parts, by part number

What was fitted, which brand, which supplier, on which date. The record that tells you whether the failure at 40,000 miles is a pattern or a one-off.

Documents in one place

Registrations, insurance, inspection paperwork, warranty terms and purchase records — photographed once, attached to the unit they belong to.

The people who run it, on it

Share a unit with a driver, a mechanic or a supervisor and set what each of them can do. They log work against it themselves, and you can assign to-dos and recurring checklists. No per-seat charge.

What each unit actually costs

Fuel, service, repairs and parts totaled per unit and over time, so the replace-or-keep conversation runs on numbers rather than instinct.

Your data, exportable

Bring in the spreadsheet the yard has been keeping. Export any unit as a PDF, or the whole account as CSV or JSON, whenever you want it.

The record gets made at the truck, not at the office

Fleet paperwork fails for one reason: it asks somebody to type up, hours later, what they already held in their hand. Photograph the invoice at the counter and the entry is finished before the unit rolls out.

And it does not have to be you holding the phone. Share a unit with the driver or mechanic who runs it and they log against it directly — you decide what each of them can do, and you can change or revoke it whenever you want. No seats to buy.

When the same fault comes back six months later, what was done, by whom, with which parts, is a search rather than an archaeology project.

A documented machine is worth more than an undocumented one

When a unit comes out of the fleet, export its full service and ownership history as a report and hand it over with the machine. Every repair, every part, every document — the same evidence that justifies your asking price.

It works the other way round too. When you buy used, a complete record is the difference between a known quantity and a gamble.

Questions fleet owners ask

How many units can we track?

There is no limit on the number of vehicles in an account. Pickups, vocational trucks, tractors, trailers and yellow iron can all sit in the same account, each with its own record.

Does it work for equipment that never sees a road?

Yes. An excavator, a roller or a generator is a record like any other — service, parts, documents, photos and running costs. Anything without a plate simply has no registration to file against it.

Our mechanics and drivers are in the field, not at a desk.

That is where the record gets made. Share a unit with the driver or mechanic who runs it and they log against it directly — the invoice from a roadside repair is captured with a photo taken on the spot, and the details come off it automatically. You can also assign them to-dos and recurring checklists, so the daily walkaround or the 250-hour service is on their phone rather than on a clipboard in your office.

Can we get our data back out?

Any time. Export as a PDF report for a single unit, or CSV and JSON for the whole account. The record is yours, including when a unit is sold and its history should go with it.

Can more than one person log work?

Yes. Share any unit with the people who run it — a driver, a mechanic, a site supervisor — and set what each of them is allowed to do with it. They log service and receipts against that unit themselves, and you can assign them to-dos and recurring checklists. Access is granted per vehicle and you can change or revoke it at any time. Sharing is per vehicle rather than an org-wide role system, and there is no fleet-wide manager dashboard yet.
